What is Marketing automation?
Marketing automation is the use of software to send the right message to the right person at the right time based on rules and triggers, such as a missed appointment, a completed consultation or a due health check. In hospitals it runs reminders, follow-ups, nurture journeys and reactivation across SMS, WhatsApp and email, using CRM data and recorded consent.
Why it matters for hospitals
Most hospital revenue leaks between steps: enquiries not followed up, consultations not converted, patients not returning for reviews. Automation closes those gaps without adding staff. It must respect consent and avoid sending marketing messages that feel insensitive given someone’s health.
How to put it into practice
- Start with operational journeys: appointment reminders, no-show recovery and post-OPD follow-up.
- Trigger messages from CRM events, not from a fixed campaign calendar.
- Check consent and channel preference before each message, and suppress anyone in active treatment where appropriate.
- Keep messages short, specific and with one clear action.
- Track each journey’s effect on booked and honoured appointments.
The common mistake
Buying an automation platform before the CRM data is clean. Automation on bad data sends wrong messages faster.
An illustrative example
A hospital set up an automated follow-up for patients advised surgery but not yet scheduled, with a counsellor call on day three. More advised patients went on to schedule, and counsellors spent less time on cold lists. (Composite example, not a specific hospital.)
