What is Hospital CRM?
A hospital CRM (customer or patient relationship management system) records every enquiry and patient interaction outside clinical care: source, contact history, appointments, follow-ups and consent. It is the operating system for converting demand and keeping patients engaged, distinct from the hospital information system.
Why it matters for hospitals
Without a CRM, enquiries live in phones, inboxes and spreadsheets, so leakage cannot be measured or fixed. With one, the hospital can see response times, conversion by channel and which follow-ups are due.
How to put it into practice
- Bring every channel into one queue: calls, forms, WhatsApp, walk-ins.
- Assign owners and response targets, and track them on a dashboard.
- Store consent with each record and respect it in campaigns.
- Integrate appointment status from the hospital system so conversion is visible.
The common mistake
Buying a CRM before defining the process. Software cannot fix an unowned enquiry.
An illustrative example
A hospital group rolls out a CRM with one queue per unit and a 30-minute first-response target. Enquiry-to-appointment rates become comparable across units for the first time. (Composite example, not a specific hospital.)
