What is Enquiry-to-appointment rate?
Enquiry-to-appointment rate is the share of patient enquiries, from calls, forms, WhatsApp and walk-ins, that turn into a booked appointment within a set period. It is the clearest single measure of how well a hospital converts demand it has already paid to create.
Why it matters for hospitals
Most hospitals spend heavily to generate enquiries and then lose many through slow responses, missed calls and no follow-up. Improving conversion of existing enquiries is usually cheaper and faster than buying more traffic.
How to put it into practice
- Count every enquiry with its source and a timestamp, deduplicated by patient.
- Define the window, for example appointment booked within 14 days.
- Report the rate by channel, specialty and location, not as one blended number.
- Track honoured appointments too, since a booking that is not kept is not a win.
The common mistake
Measuring cost per lead instead. Cheap leads that never convert make campaigns look efficient while revenue stays flat.
An illustrative example
An orthopaedic department finds WhatsApp enquiries convert at half the rate of calls because messages wait hours for a reply. A staffed queue with a 15-minute response target closes the gap. (Composite example, not a specific hospital.)
