What is Online reputation management?

Online reputation management is the ongoing work of monitoring, responding to and improving what people see and say about a hospital or doctor online, across Google reviews, listing platforms, social media, news and AI answers. For hospitals it combines review response, service recovery, accurate listings and steady positive content, without disclosing patient information in replies.

Why it matters for hospitals

Patients read reviews before they book, and a cluster of complaints about billing or waiting can undo months of marketing. Reputation also feeds AI assistants and local search, so it affects visibility as well as trust. Most negative reviews point to fixable operational problems.

How to put it into practice

  • Monitor Google, listing platforms and social mentions daily, with alerts for each unit and senior doctor.
  • Reply to every review within an agreed time, never confirming that the reviewer was a patient or sharing clinical details.
  • Send serious complaints to a service recovery owner who can call the patient and close the loop.
  • Ask satisfied patients for reviews at the right moment, such as discharge or a follow-up call, without incentives.
  • Report the top three complaint themes to operations each month.

The common mistake

Trying to bury or remove negative reviews instead of fixing the cause. Patients notice the pattern, and fake positive reviews break platform rules.

An illustrative example

A hospital found that most one-star reviews mentioned discharge delays. After operations reworked the discharge process and marketing replied to every review, the average rating rose over six months. (Composite example, not a specific hospital.)
