The problem it solves

A doctor’s Google Business Profile is often the first thing a patient sees, before the website and sometimes before the doctor’s name is even known. Yet most profiles I review were set up once by someone who has since left, with the wrong category, a central call-centre number and no booking link.

This template turns Google’s own rules for practitioners and healthcare locations into a scored checklist and a working planner. Audit the profile, draft every field against Google’s limits, plan posts and photos, log review responses and track monthly results in one Excel file per location.

How to use it

  1. Save one copy of the file per location or per doctor profile.
  2. Complete the Profile audit sheet, marking each point Done, Partly, Not done or Not applicable to get a baseline score.
  3. Draft every field in the Field planner, fix anything flagged Over limit, and update the live profile.
  4. Shoot the photos on the shot list, write services with clinical review, and schedule posts from the 12-week planner.
  5. Log every review response and fill the Monthly tracker from the profile’s performance data on the same day each month.

What does this GBP checklist for doctors cover?

It covers eligibility and structure (practitioner, department and location profiles), core fields, conversion features such as booking links and services, photos and video, posts, reviews and ongoing maintenance. Each point is written against Google’s published guidelines, with a status column that produces a score so you can track progress across locations and doctors.

Should every doctor in our hospital have a separate profile?

Only doctors who see patients at that location and can be contacted there during stated hours qualify as practitioners under Google’s guidelines. At a multi-doctor location, the hospital has its own profile and each doctor’s profile carries only the doctor’s name. Support staff should not have profiles. Check the current guidelines before creating any new profile.

Can we put the specialty and city in the business name?

Not unless they are part of the real-world name on your signage. Google’s guidelines require the name to match how the business is known offline, and adding keywords can lead to suspension. Use categories, services and the description to explain what you do, and let the location page do the rest.

How should we ask patients for reviews?

Ask every eligible patient in the same way, at the same point in the journey, without incentives and without pressure on the premises. Google prohibits selectively asking only happy patients and offering anything in exchange. Replies should never confirm someone was a patient or mention any health detail, even if the reviewer did.

What should we track every month?

Track calls, direction requests, website clicks and bookings from the profile’s performance section, then compare them with appointments recorded in your CRM or HIS. Tag the website link with UTM parameters so profile traffic shows separately in analytics. The trend matters more than any single month.
