How it works

The logic

The calculator follows enquiries through capture, response, booking, arrival and treatment today, then again with the improvements you expect from a CRM. The difference in treated patients, multiplied by average revenue and your contribution margin, gives the extra monthly contribution. Payback divides the one-time cost by that contribution after running costs.

Be conservative. Improvements depend on implementation, not software; see hospital CRM implementation and how to choose a hospital CRM.

FAQ

Questions people ask

How do you calculate CRM payback for a hospital?

Estimate extra treated patients from better capture, response and attendance, convert them to contribution, subtract running costs, and divide the one-time cost by the monthly result.

What improvements can a CRM deliver?

Mainly more enquiries captured with a source, faster responses and fewer no-shows through reminders, if it is implemented well.

Why use contribution rather than revenue?

Because treating patients has direct costs. Contribution shows what is left to pay for the CRM.

What costs should be included?

One-time implementation and integration, plus yearly licences, messaging and support.

Is this a forecast?

No. It is a scenario model based on your assumptions. Use conservative inputs.
